Custom Orders, Returns, Refunds & Manufacturing Policy

1. All Custom Sales Are Final

At HBCU Threads LLC, every custom order is created according to the customer’s selected or approved specifications. Because custom merchandise is manufactured, personalized, or produced specifically for the purchaser, ALL CUSTOM SALES ARE FINAL.

Except where required by applicable law or expressly agreed to in writing by HBCU Threads LLC, we do not offer:

Full refunds

Partial refunds

Returns

Exchanges

Store credits

Order cancellations after production has commenced

This policy applies to all custom-manufactured and personalized merchandise, including jackets, jerseys, shirts, polos, hats, pants, shorts, uniforms, embroidery, patches, accessories, and bulk organization orders.

This policy applies regardless of order quantity, purchase amount, or intended event.

2. Customer Approval and Responsibility

Customers are responsible for reviewing and confirming all order specifications before production begins.

This includes:

Sizes, quantities, and measurements

Names, numbers, initials, and spelling

Colors, artwork, logos, and placement

Fabric and material specifications

Embroidery, printing, and design details

Requested delivery dates and shipping information

Once the customer approves the final specifications and production begins, changes cannot be guaranteed.

HBCU Threads LLC is not responsible for customer-provided errors that are reproduced accurately according to the approved specifications.

Any approved modifications after production begins may result in additional charges or revised production timelines.

3. Custom Sizing and Fit

Customers must carefully review all provided size charts and measurement instructions before submitting their orders.

Custom garments are manufactured according to the sizes and measurements approved by the customer.

HBCU Threads LLC does not provide refunds, partial refunds, returns, or exchanges for incorrect customer-selected sizes, changes in personal measurements, or individual fit preferences when garments conform to the agreed specifications.

Customers placing group orders are responsible for collecting and verifying each participant’s sizing information.

If a garment materially differs from the approved measurements or specifications due to a manufacturing error, the matter will be reviewed under our Manufacturing Defects Policy.

4. Colors, Fabrics, and Materials

HBCU Threads LLC works with manufacturing partners to produce custom merchandise according to the agreed specifications.

Minor differences in color appearance may occur due to lighting, photography, screen settings, dye lots, or normal manufacturing tolerances.

However, any material substitution or significant deviation from expressly agreed fabric composition, construction, or product specifications is subject to review.

We strive to ensure that product descriptions, fiber-content representations, and garment labels are accurate and compliant with applicable requirements.

Customers who believe an item does not match its agreed material specifications should contact us with the order details and supporting documentation.

5. Manufacturing Defects and Quality Concerns

We take manufacturing quality seriously and are committed to reviewing legitimate product concerns.

Customers are requested to report visible defects within seven calendar days of delivery, whenever reasonably possible.

Claims should include:

Order number and purchaser information

Photographs showing the reported defects

Description of each issue

Quantity and sizes of affected merchandise

Photographs of applicable labels or packaging

Examples of potential manufacturing defects include significant staining, incorrect embroidery, incorrect personalization attributable to production, damaged materials, faulty construction, and substantial deviations from approved specifications.

HBCU Threads LLC will evaluate the reported concerns and may request additional photographs, measurements, or an inspection.

The seven-day reporting period is intended to facilitate timely investigation and does not eliminate any rights or remedies provided by applicable law.

6. Corrective Action: Repair, Replacement, or Remanufacturing

When a manufacturing defect or nonconformity is verified, HBCU Threads LLC may offer an appropriate corrective solution based on the circumstances and applicable legal requirements.

Possible corrective measures include:

Repairing an affected garment

Correcting embroidery, printing, or personalization

Replacing individual defective items

Remanufacturing affected merchandise

Remaking an entire custom order when warranted

Where HBCU Threads LLC determines that corrective manufacturing is appropriate, the approved corrective work will be performed without additional manufacturing charges to the customer.

We may coordinate inspection, return shipping, or exchange logistics when necessary.

A repair or replacement offer does not limit any remedy that cannot lawfully be excluded, including a refund where required by applicable law.

7. No Voluntary Partial Refunds or Price Adjustments

HBCU Threads LLC does not ordinarily offer voluntary partial refunds, percentage-based reimbursements, price reductions, or post-purchase discounts on custom merchandise.

Customer dissatisfaction, personal preferences, changes of mind, or decisions not to use the merchandise do not independently qualify an order for a refund or price adjustment.

Requests involving verified defects, material nonconformities, or other legally protected circumstances will be evaluated individually.

Nothing in this section excludes refunds, price adjustments, or other remedies required by applicable law.

8. Use or Alteration of Merchandise

Customers are encouraged to inspect merchandise promptly upon delivery and report concerns before further use whenever practical.

When reviewing a claim, HBCU Threads LLC may consider the merchandise’s condition, extent of use, subsequent alterations, washing, or damage occurring after delivery.

Wearing, displaying, or using merchandise does not automatically eliminate a customer’s rights regarding defects or nonconforming goods.

HBCU Threads LLC is not responsible for damage resulting solely from improper care, unauthorized alterations, misuse, or normal wear and tear.

9. Production and Shipping Timelines

Custom merchandise requires manufacturing and processing time.

Production estimates may vary based on order complexity, material availability, manufacturing capacity, holidays, and shipping arrangements.

Customers should communicate any event-specific deadlines before placing an order.

Unless HBCU Threads LLC expressly confirms a guaranteed delivery date in writing, estimated production or delivery dates are not guarantees.

If we cannot ship an order within the applicable promised timeframe, we will provide notices, cancellation options, and refunds as required by federal and state law.

We do not use our custom-order final-sale policy to override legally required cancellation or refund rights arising from shipping delays or failure to deliver merchandise.

10. Order Cancellations

Cancellation requests must be submitted in writing as soon as possible.

Once custom production has commenced, cancellations are generally not accepted, and payments are ordinarily nonrefundable.

If production has not begun, HBCU Threads LLC may review a cancellation request based on the order’s status and any applicable contractual terms.

Any legally required cancellation or refund rights remain unaffected.

11. Bulk, Chapter, Organization, and Group Orders

All group orders, including fraternity, sorority, university, alumni, athletic, corporate, and organizational purchases, are subject to the custom-order policies described above.

The designated purchaser or authorized representative is responsible for approving the order specifications and coordinating group sizing, artwork, and personalization.

Individual members’ preferences or sizing changes do not automatically authorize cancellation or refund of an entire approved group order.

Any verified manufacturing defects or material nonconformities will be evaluated based on the affected merchandise, the agreed specifications, and applicable law.

12. Unauthorized Returns

Customers must contact HBCU Threads LLC and obtain written return instructions before shipping merchandise back for inspection or corrective action.

Unapproved returns may be refused or delayed in processing.

Customers should not discard, destroy, or alter allegedly defective merchandise before the review is complete, where preservation is reasonably possible.

Return shipping responsibilities for approved claims will be communicated in writing and handled in accordance with applicable law.

13. Payment Disputes

Customers are encouraged to contact HBCU Threads LLC directly regarding order concerns so that we have an opportunity to investigate and propose a resolution.

We maintain records of approved designs, invoices, customer communications, manufacturing specifications, delivery confirmations, and corrective-action offers.

Nothing in this policy restricts a customer’s lawful right to contact a payment provider, dispute a charge, or exercise applicable consumer protections.

14. Legal Rights and Applicable Law

This policy is intended to govern voluntary returns, refunds, exchanges, and corrective-action procedures for custom merchandise.

Nothing in this policy excludes, restricts, or waives any consumer rights, warranties, remedies, or protections that cannot lawfully be limited under applicable federal or state law.

Where applicable law conflicts with a provision of this policy, applicable law controls.

15. Policy Updates

HBCU Threads LLC reserves the right to update this policy for future purchases.

The version disclosed and applicable when an order is placed will govern that transaction, subject to applicable law and any separately agreed written terms.

Changes to this policy will not retroactively alter the terms of existing orders without appropriate agreement.
